Seawolf ID Card Self-Service Photo Upload
Sonoma State University is excited to offer an option for new Seawolf students and employees* to be able to choose their own photo for their Seawolf ID Card.
Photo Upload Process:
To begin, log into SSU’s Online Services. Once logged in, click on the Seawolf Card Management Tile. Then, click on the Upload Your Photo tab, and complete the steps below:
1. Read and agree to the SSU Seawolf ID Card Terms and Conditions.
2. Upload a valid, government-issued photo ID to confirm identity. Acceptable forms of ID include: Driver’s License, High School ID, State Identification Card, Passport/Visa, or Permanent Residence Card. If you do not have an acceptable form of ID, please visit the Seawolf Service Center in Salazar Hall during open hours for an in-person option.
- NOTE: your government-issued ID will be encrypted and stored on a secure server. Once your photo is reviewed, your government-issued ID will be deleted from storage.
3. Review the photo upload guidelines prior to uploading a photo to ensure all requirements are met. It is important to size your photo correctly otherwise the photo will not load and the process will error out. Then, enter your SSU email address and select your classification, i.e. undergraduate student, graduate student or employee.
4. Choose photo and select the Upload Photo button. Make sure to review the photo ID criteria below to ensure your chosen photo meets the guidelines for acceptance.
5. Your image will appear on the screen with a message at the top that confirms if the photo has been successfully uploaded. Your image will have a "pending" status next to it until the Seawolf Service Center team has reviewed your photo.
6. You will receive an email from the Seawolf Service Center to your SSU email within 48 business hours once your photo has been approved that will include further information and instructions for pick up.
- NOTE: If your photo is rejected, you will receive an email at your SSU email with the reject reason and a new photo must be submitted.
Photo ID Card Criteria:
Instructions for Acceptable Photos:
- Google Chrome or Firefox browser recommended, not Safari
- JPEG format
- Color photo with light, solid color background
- Image no larger than 1500 x 2000 pixels and no smaller than 300 x 400 pixels otherwise the photo will not load successfully which errors out the process completely!
- Maximum file size of 5000 KB
- Headshots only with face, head and shoulders fully visible, looking straight at the camera
- One person in photo only
- No photos with sunglasses, caps, scarves or hats will be accepted
- A straight face or smile. No funny faces, please
- No photo filters
- No photos of photos, we are unable to use the photo from your Driver's License
- No photos in cars
Unacceptable Photos:
- Wearing hats, sunglasses or other items that obscure the face will not be accepted
- Glare on glasses, closed eyes
- Shadows on the face
- Other visible people, objects, or text in the photo
- Inappropriate expressions
- Group photos
- Blurry photos
- Black and white photos
- Photos with your hand resting on your face
- Photos that crop off the top of your head or show a side angle of your face
The Seawolf Service Center reserves the right to deny photo requests that do not meet the SSU ID Card criteria. Please ensure that you have read the information regarding proper photo submission detailed above.
Student ID Pickup
You will receive an email from the Seawolf Service Center to your SSU email within 48 business hours once your photo has been approved that will include further information and instructions for pick up unless your photo is rejected. If your photo is rejected, you will receive an email at your SSU email within 48 business hours stating the reject reason and requesting that a new photo must be submitted.
